Hire Equipment

Whether you’re staging a theatre performance, running a workshop or are involved with any other event linked to the performing arts, we have a variety of equipment to help make it run smoothly.

Our equipment for hire includes:

  • Reversible grey/black, portable Harlequin dance floor (with essential carry straps and storage bags)
  • Captioning equipment to increase access to the performing arts for deaf or hard of hearing audience members. For more information about captioning hire click here.

If you are intending to hire equipment, it is essential to first review the Theatre and Dance NI Hire Equipment List to ensure you are aware of specifics in regards to equipment specifications, needs and cost.

Please note: You are only eligible to benefit for the member hire rates if you have a current membership with us for two consecutive years.

Once the TDNI team has confirmed your booking request, TDNI will issue you with an equipment hire agreement to be completed, disclosing the terms of agreement between the two parties. You should read this FULLY as terms and conditions of booking may have been altered since your last hire.

You will then be issued with an invoice of the final cost, including any membership discount if eligible.

Once issued with the hired equipment, it is the responsibility of you to ensure that all equipment is used according to the hire agreement, terms and conditions and be liable for ensuring no damage or misuse occurs with the hired equipment.

If cancellation is required, there are specific cancellation policy guidelines that must be adhered to, enclosed in the TDNI equipment hire agreement.

To book equipment, browse through the items at the bottom of this page, add your selected equipment to the cart, choose your rental dates, and proceed to checkout. You’ll receive a confirmation email once your booking is complete.

No, can check out as a guest however, having an account allows you to manage your orders, track rental periods, view your booking history and check out more quickly in the future.

Once you select your rental dates, the booking system automatically checks availability and updates in real-time. If the item is unavailable for the dates selected, you will see an alert and won’t be able to proceed with the booking until new dates are chosen.

There is a discount exclusively for members – you can check the prices of equipment here. Discounts, such as for long-term rentals or member discount, will be applied after your booking is confirmed. Once your booking is reviewed and any applicable discounts are applied, you will receive an updated order confirmation email showing the adjusted total price. If you believe a discount hasn’t been applied correctly, please reach out to us at projects@theatreanddanceni.org

Late returns can result in additional fees, which are calculated based on the hourly or daily rates. Please ensure that equipment is returned on time to avoid these charges.

No, it is your responsibility to organise couriering of the equipment. Please check the equipment measurements prior to organising a courier to make sure the vehicle is the correct size. The hirer assumes complete responsibility for loss of or damage to the equipment therefore the Equipment should be couriered to the highest professional standard. As the equipment is heavy, there must be at least two persons available to transport the equipment. Theatre and Dance NI staff are unable to carry equipment for you.

You must complete a full check/inventory of the equipment when the equipment arrives to the venue / event. If any of the equipment is missing or damaged, this must be reported to Theatre and Dance NI. If this is not reported upon equipment set up, Theatre and Dance NI will assume that all the equipment is present and correct. You will assume complete responsibility for loss of or damage to the hire equipment from the time the equipment leaves the premises until it is returned.  In the event of loss, theft or damage of the hire equipment TDNI will invoice you in full for replacement of the equipment.

The minimum charge for hire equipment is one day. Maximum rental periods may apply for certain items, these will be shown on the equipment’s details page when you select dates. You will also be notified during the checkout process if your selected dates don’t meet the requirements.

You will soon be able to pay online during the checkout process – stay tuned! But until then, once your booking has been confirmed, we will send out an invoice with the final cost. You can pay this via bank transfer.

Long-term rental discounts are available for certain items. If your booking qualifies, the discount will be applied after confirmation. You will receive a revised invoice showing the discounted rate via email. If you have questions about long-term rental discounts, feel free to contact us.
